Events and Volunteer Program Coordinator

The Events and Volunteer Program Coordinator provides an essential function to Heritage Conservancy by interacting with the community and nurturing connections through premiere fundraising events as well as immersive, mission-related, volunteer activities.

Team: Development
Reports to: Membership and Special Events Manager   
Status: Part-time / 24 hours per week with the potential to move into a full-time position  
Compensation: $30,000 salary plus benefits 

Essential Duties and Responsibilities

Special Events Planning

  • Conduct outreach, follow up and confirm volunteer support special events
  • Coordinate with vendors for premiere events regarding menu, layouts and timelines, rental needs, etc.
  • Coordinate with potential donors to secure auction items
  • Track and communicate registration and dietary restrictions/needs
  • Work with the Communications team to create plans for printed and marketing materials for special events including invitations, program books, materials for the events, post-event promotion, etc.
  • Serve as the lead contact for all volunteers during events

Volunteer Coordinator

  • Implement volunteer policies and procedures, including waivers and background clearances, orientations, etc.
  • Maintain accurate records of volunteers and provide reports as needed
  • Create processes to efficiently work cross-departmentally to identify volunteer opportunities, plan and communicate details for workdays (including corporate groups, school groups, scout groups, property clean ups, plantings, special events, etc.)
  • When needed, arrange food, equipment, materials, etc. for workdays and coordinate volunteers during events
  • Maintain effective communication strategies keeping volunteers informed and engaged
  • Implement practices to illustrate appreciation and recognition (thank you messages, annual appreciation event, recognition, birthday cards, etc.)
  • Identify volunteers for next steps to further engage with other opportunities throughout the organization
  • Engage in proactive strategies to increase and/or expand the volunteer program by promoting volunteer events and activities at various local community centers, universities, etc.

  • Database skills
  • Strong organizational and project management skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail

  • Ability to work with flexibility in a fast-paced environment while maintaining high work standards

  • At least 2 years’ experience in related field
  • Some development fundraising experience preferred but not required
  • Willingness/Experience in public speaking

The Delaware River Watershed Fellow

This is a 12-week, paid summer job opportunity designed to introduce young people from local communities to careers in environmental education. 

Heritage Conservancy, a member of the Alliance for Watershed Education (AWE), is seeking to hire a Fellow from the Lower Bucks Bristol and Croydon area to help connect with local community members around protecting the Delaware River and its waterways.

Fellows are hired at one of 23 environmental education centers across the Delaware River Watershed. Fellows participate in training sessions to help prepare them for a summer of helping people connect with nature and informing their local communities about issues affecting the Delaware River, the source of drinking water for 15 million people living in the region.

Position Location: Heritage Conservancy offices are located within Aldie Mansion at 85 Old Dublin Pike, Doylestown, PA. The Fellow will also have the opportunity to spend time working on programs hosted at our preserves or partnering organizations located near Bristol and Croydon as well as throughout Bucks County.

Compensation: Fellows are paid $16.25/hr, 37.5 hours a week over the summer.

Duties:

  • Fellows will participate in a 3-day watershed education training, at the Pocono Environmental Education Center (overnight, June 12-14.) http://www.peec.org/
  • Fellows will help their host Center lead programs and activities, whether in-person or virtually, for community members and visitors to their site.
  • Fellows will attend in-person meetings with Fellows from other AWE Centers.
  • With guidance from their supervisor and mentors, Fellows will focus their efforts on a specific Capstone Project and present their work at the end-of-program Summit event (August 16).
  • Fellows will document their progress by completing a short log report every week.

The Heritage Conservancy Fellow will specifically:

  • Receive training on and assist with student environmental education, public and community
  • outreach programs and events.
  • Create supplemental educational materials and resources for school and community programs.
  • Utilize community survey data to develop and plan for public programs in Lower Bucks at Heritage Conservancy preserves.
  • Connect with new community groups and partners in Lower Bucks County.
  • Assist with trail and property maintenance, including invasive plant removal and trash clean up, as needed, at Bristol Marsh, Croydon Woods and other preserves in Bucks County.
  • Assist with daily office tasks and other events as needed.
  • Represent yourself in a professional and respectful manner throughout the internship as you are representing Heritage Conservancy and AWE.
  • Comply with all Heritage Conservancy workplace safety rules and regulations that are in effect during the fellowship.

Qualifications and Experience:

  • Age 18+ by June 3, 2024 start date.
  • Applicants from Bristol, Croydon, or Lower Bucks County, PA preferred.
  • Must exhibit enthusiasm for the natural environment.
  • Prior knowledge of natural science is a plus, but not required.
  • Must be able to work well with others both in the office and in the community.
  • Strong written and verbal communication skills.
  • Must be eager to work and learn.
  • Attention to detail, ability to take direction and complete tasks.
  • Strong time and project management skills needed.
  • Must be self-motivated, have a positive attitude and willing to work in a flexible work environment.
  • Ability to endure variable environmental factors associated with outdoor work.
  • Able to walk/hike through varied terrain.
  • Occasional evening and weekend hours required (approximately 6 hours per month).
  • Valid state driver’s license and own transportation required.

Essential dates:
June 3, 2023: Fellow start date at Heritage Conservancy (Fellows may arrange with their Supervisor to begin any time within the first week of the program.)
June 12-14: Fellowship Orientation (overnight) at Pocono Environmental Education Center. (Meals, transportation and accommodations provided.)
August 16: Watershed Fellowship Summit (location to be announced).
August 23: Last day of Fellowship (Fellows may finish their term of service any time after the August 16 Summit as needed.)
